Equipment finance & leasing

Insurance verification for financed and leased equipment

Evident connects insurance evidence to every vehicle and machine you finance, checks it against your requirements, and keeps watching — so you know which collateral is protected, which isn't, and when to act.

A certificate isn't proof the collateral is covered

Collecting the document is the easy part. Here's what it doesn't tell you.

Is it the right asset?

  • The VIN or serial number isn't listed, or doesn't match the financed unit
  • Only some units are listed — four of five trucks
  • Government-owned or self-insured units need different evidence entirely

Is it the right coverage?

  • Physical damage is missing or expired, even when liability is current
  • The deductible is above your per-unit limit
  • The lender isn't named as loss payee or additional insured
  • Equipment needs equipment coverage, not just auto

Is it still in force?

  • Cancelled mid-term — the certificate doesn't change when the policy does
  • Units dropped at renewal
  • Expired, and no one is chasing the renewal

That's why collecting certificates isn't the same as verifying them — and why checking every line by hand doesn't scale.

“Since implementing Evident, we’ve seen an 85% reduction in administrative burden related to insurance verification. This allows our team to focus on building stronger client relationships.”

Asset-level verification

Verification down to every vehicle and machine

Evident's AI reads every certificate, declarations page and endorsement line by line — VINs, deductibles, loss payees, cancellation dates — and checks each one against your rules for that asset. Your team only sees what needs a decision.

How it works

  1. Step 1: Set your requirements

By asset class, with per-unit deductibles and loss payee rules.

  2. Step 2: Collect the evidence

From borrowers or straight from their brokers, with automatic reminders.

  3. Step 3: Verify and monitor

AI checks every unit; renewals and cancellations are tracked for the life of the loan or lease.

Is it the right asset?

Asset-level verification and VIN matching

Coverage is checked unit by unit, by VIN or serial number. If a borrower finances five trucks and the new certificate lists four, the four are verified and the fifth stays flagged — one document never clears a whole fleet.

Different rules for different collateral

Apply the right requirements to each asset class: standard vehicles, government-owned or self-insured vehicles, and equipment and machinery — each with its own coverage rules, from auto liability and physical damage to leased and rented equipment coverage.

Deductibles checked per asset

Set comprehensive and collision deductible limits per vehicle or machine, and Evident checks each unit against its own requirement — so one high deductible doesn't hide inside a compliant-looking policy.

Collect from the borrower — or only from the broker

Automated requests and reminders go to borrowers. For stricter programs, require documents to come directly from the insurance agent or broker.

Is it still in force?

Keeps up as collateral changes

Add a unit and Evident requests proof of coverage for it; pay one off and compliance is reassessed from the documents already on file. And a new document doesn't automatically clear everything: if a fresh submission updates general liability but auto physical damage is still expired, the gap stays open.

Renewals tracked, cancellations caught, force-placement on time

Every renewal is tracked ahead of expiration, and early cancellation alerts tell you the moment coverage drops — so you know exactly when to trigger force-placed insurance.

Frequently asked questions

How does Evident's AI verify insurance documents?

It reads each document line by line, connects coverage to the specific financed assets, and checks every detail against your requirements for that asset class — the tedious checks people tend to skim. Unusual or unclear documents go to expert review, so speed doesn't come at the cost of accuracy.

Our force-placed program bundles in COI tracking. Why change?

Bundled tracking is usually pretty limited, often just built to track lapses and expirations, which leaves you with a ton of manual, admin overhead. Evident is built to verify every asset in detail upfront and through the lifecycle, giving your team visibility and control even as things change. Evident works alongside your insurance partner to build a more robust program, which is why we've got partnerships with Assurant, Hub, Marsh, WTW and more.

What is collateral insurance tracking?

Confirming that every financed asset carries the insurance the loan or lease requires — and keeping that confirmation current through renewals, cancellations and collateral changes.

Can Evident match coverage to a specific VIN or serial number?

Yes. Each financed vehicle or machine is matched to the coverage that applies, and mismatches or missing units are flagged.

Can we set different requirements for different kinds of collateral?

Yes — for example standard vehicles, government-owned or self-insured vehicles, and equipment and machinery, each with its own rules and per-asset deductible limits.

How does Evident help with force-placed insurance?

It tracks renewals and flags cancellations early, so your team knows exactly when coverage has lapsed and force-placement should be triggered. Evident doesn't sell or place insurance.

Does Evident provide force-placed insurance?

No. We can work with your process and partners to smoothly automate this, but we don't provide the insurance ourselves. If you're evaluating options for the insurance, we're happy to introduce you to some of our partners.

Can documents come only from the borrower's broker?

Yes, it's an optional requirement.

What if a certificate lists only some of the financed units?

The units it identifies are verified; any unit it doesn't identify stays flagged until coverage for it is provided.

Can Evident connect to our servicing or leasing system?

Yes — through APIs and bulk imports and exports, with the flexibility to fit your particular systems and processes. We've got dozens of pre-built integrations, or can support your custom in-house system.
